The personal information we hold on our customers

We hold a range of information relating to our customers to permit us to run the business effectively and provide the best customer service we can. This includes:

  • Your name and contact details such as address, telephone number, and email address;
  • Payment information such as your bank account or details of your credit or debit cards;
  • Information about the goods and services you have purchased from us;
  • Your feedback, comments and correspondence;
  • Your preference as to whether and how you wish to receive our marketing communications;

  • Information about how you have interacted with our communications (for example, which emails or texts you have opened and your use of links) to improve the relevance and usefulness of our communications;

Keeping your personal information

By law, we must not keep your personal information longer than we need it. Most customer information will be kept for 6 years from the end of the financial year in which our customer relationship ends, to meet our customer service, accounting and auditing requirements. Why we process our customers’ personal information (the legal basis)

We process the personal information of customers in order to perform a contract we have with you (for example, where we need your information to provide you with goods or services or in our legitimate interests as a business (for our accounting purposes, for marketing or for customer research and for fraud prevention).

Sometimes we rely on your consent to use your data – for example, for email marketing to potential customers.

Occasionally we will process customer personal information because we have a legal obligation to do so.

 How we use customers’ personal information

We use your personal information to provide you with the goods and services you buy from us (for example recording and processing your orders and taking payment). We may also use your information to contact you – to tell you about other goods and services or to carry out market research.

We also use customer personal information to give you a more personalised service, tailoring our marketing and offers to you. By analysing customer information, we also try to understand what customers want as how we can improve our goods and services and our customer service. We do this by using information about what goods and services you have purchased from us in the past, and how you use our website and apps.

To keep customers and colleagues safe and secure, we also use CCTV on our business premises which records images.

Profiling and automated decision making

We use automated profiling on the customer information we hold to make our advertising and offers is as relevant and appropriate to you as possible.

We do not have any automated decision-making processes i.e. decisions made by computer without human intervention.

Staying in touch

We want to keep in touch with customers and potential customers to tell you about our goods and services, by post, email, text or social media.

We will not do this if you opt-out or object, and you can change your mind at any time. Just get in touch using the contact details at the top of this notice or use the unsubscribe option within any of our marketing communications.

Sharing customers’ personal information

Where necessary we will share your personal information with third party service providers, who are under contractual obligation to protect your data. These companies include:

  • Payment card companies e.g. Stripe, Dojo, Shopify;
  • Marketing and advertising companies e.g. Zoho, Meta,
  • Website and social media providers e.g. Shopify, KCS, Meta, Tiktok;
  • IT service providers e.g. KCS, Shopify;
  • Market research partners, who help us to analyse customer behaviour e.g. Zoho, Meta;
  • Couriers and delivery companies e.g. Parcel Force, Royal Mail, FedEx, UPS, TNT;
  • Professional advisors, including accountants, lawyers and management consultants

Where necessary we will also share information where required to by law or in the public interest, with, for example, the police or HM Revenue and Customs, or to exercise or defend our legal rights.
